At TRAI Consulting Inc. (“TRAI”), we value the security of your personal data. In accordance with Law No. 6698 on the Protection of Personal Data (the “Law”), your personal data may be processed by TRAI, acting as the data controller, within the scope described below. We aim to inform you about the personal data you share with us when registering for or expressing your sponsorship interest at the Turkish Artificial Intelligence Summit (the “Summit”) through this Privacy Notice.

1. Method of Collecting Your Personal Data and Legal Reasons

As a data controller under Article 5/2 of the Law, for the legitimate interests of enabling your participation in the Summit and/or initiating the sponsorship process, your personal data including name, surname, email address, phone number, company/organization and title information are collected electronically via the contact form on our website using automatic methods.

TRAI commits to taking all reasonable precautions to protect your data and minimize the risks of unauthorized access and use. However, TRAI is not responsible for any security breach, misuse, data alteration, or deletion originating from third-party providers, including online payment service providers.

2. Purposes of Processing Your Personal Data

We process your personal data for various purposes related to the organization of the event named the Turkish Artificial Intelligence Summit and your relationship with TRAI. We rely on legal reasons specified in the Law when processing your personal data. The legal reasons and corresponding processing purposes are listed in the table below.

·       In order for TRAI to continue its activities and fulfill its obligations arising from the legislation in accordance with all applicable legislation, including but not limited to the Law No. 6698 on the Protection of Personal Data, Law No. 5651 on Regulating Broadcasting in the Internet and Fighting Against Crimes Committed through Internet Broadcasting, Turkish Code of Obligations No. 6098, Turkish Commercial Code No. 6102, Turkish Civil Code No. 2457, Tax and Customs legislation

Necessary for the legitimate interests of the data controller

·       Recording visual and auditory data within the scope of TRAI’s promotional, event, press, and other corporate communication activities, publishing the related recordings electronically or in print, managing press, news, and communication processes, conducting social media and public announcements unless objected to in writing by the participant

Necessary for the establishment, exercise, or protection of a right

·       Providing information related to the conference/seminar/event

·       Sending marketing communications such as service promotions, advertisements, communications, promotions, sales, marketing, newsletters

3. Transfer of Your Personal Data

Your personal data may be transferred within the scope and purposes stated above, in accordance with Articles 8 and 9 of the Law; to (i) email service providers, (ii) hosting, storage, archiving, server support service providers that are used for managing information security processes, (iii) business partners and/or suppliers for managing our promotion and communication services and fulfilling obligations arising from regulations, (iv) legally authorized public institutions and officials, and (v) consultancy firms supporting us in legal and similar areas as specified in this Privacy Notice.

4. Access to Your Personal Data and Your Rights Under the Law

As the owner of personal data, you have the following rights under Article 11 of the Law:

a)     to learn whether your personal data are processed or not,

b)     to demand for information as to if your personal data have been processed,

c)     to learn the purpose of the processing of your personal data and whether these personal data are used in compliance with the purpose,

d)     to know the third parties to whom your personal data are transferred in country or abroad,

e)     to request the rectification of the incomplete or inaccurate data, if any,

f)      to request the erasure or destruction of your personal data under the conditions referred to in Article 7,

g)     to request reporting of the operations carried out pursuant to sub-paragraphs (e) and (f) to third parties to whom your personal data have been transferred,

h)     to object to the occurrence of a result against the person yourself by analyzing the data processed solely through automated systems,

i)      to claim compensation for the damage arising from the unlawful processing of your personal data.

You can submit your applications regarding these rights according to the Communique on the Principles and Procedures for the Request to Data Controller with a wet-signed petition to Asmalımescit Mahallesi, İstiklal Caddesi, Koçtuğhan Apt. No: 178, Kat: 5, Beyoğlu/Istanbul in person or by post/courier, or electronically via [email protected].

Your requests regarding your personal data will be responded to as soon as possible and within at most 30 days from the date they are received by TRAI. If your request is accepted, or rejected with reasons explained, our response will be sent to the address specified in your application by mail or email, preferably by the method of your request. If the evaluation and decision-making process incurs an additional cost, the fee set by the Personal Data Protection Board will be applied.

5. Retention Period of Your Personal Data

Your personal data will be retained for the period specified in the relevant legal regulations or as necessary for the purposes mentioned above and will subsequently be deleted, destroyed, or anonymized in accordance with the Law.

I consent to the use of my personal data obtained during the “Turkish Artificial Intelligence Summit” organized by TRAI Consulting Inc. (TRAI) for sending commercial communications such as advertising, communication, promotion, marketing, and newsletters within the framework of Law No. 6563 on the Regulation of Electronic Commerce.
